The Office Manager for the Northville, MI facility is the operational heart of a dynamic, modern 13,000-square-foot office. This role blends facilities management, office operations, hospitality, HR and IT coordination, and executive support. You will work closely with the EVP of Growth & Professional Services and other office leadership to ensure the office runs seamlessly, foster an engaging workplace culture, manage vendor and guest experiences, and maintain the high standards that reflect CPA.com's values. This is a hands-on, multifaceted role requiring strong organizational skills, resourcefulness, and genuine investment in supporting both staff and external partners.
Duties and Responsibilities:
Office Operations & Facilities Management:
- Manage day-to-day facility operations for the 13,000-square-foot Northville office, ensuring a welcoming, professional, and well-maintained environment for staff, clients, and visitors
- Oversee facility maintenance and upkeep; coordinate with maintenance vendors and service providers
- Manage vendor contracts and help negotiate service agreements (cleaning, maintenance, IT support, food service, etc.)
Process and reconcile facilities-related purchase orders, invoices, and expenses; ensure compliance with approved budgets and procurement policies
- Manage shipping, receiving, and office supply inventory; anticipate supply needs and maintain adequate stock of pantry items and general office supplies
- Coordinate facility procurement for hardware, furniture, equipment, and other office needs
Ensure compliance with lease obligations, building codes, and local regulations
Hospitality & Guest Coordination:
- Create a welcoming and professional arrival experience for executives, clients, firm representatives, and partner organizations visiting the office
- Coordinate visitor check-ins, security protocols, and badge access; ensure guests feel welcomed and supported during their time at the facility
- Manage catering logistics for breakfast and lunch four days per week; coordinate with catering vendors, manage dietary preferences, and ensure seamless daily food service
- Handle coat check and arrival logistics for visitors when necessary
- Coordinate on-site meetings, town halls, and workplace events; manage room reservations, room configuration, event setup, and day-of operational support
Plan and organize office outings and team-building activities that reinforce the dynamic, energetic culture of the organization
HR & IT Liaison:
Serve as the primary point of contact between the Northville office and HR; coordinate onboarding, offboarding, workplace policies, and employee-related logistics for Northville office staff
- Serve as the primary IT liaison; coordinate technology issues, hardware requests, software access, and IT support for the office with outside vendors and CPA.com IT team
- Facilitate communication between local staff and corporate HR and IT teams
Support workplace culture initiatives and ensure alignment with CPA.com values and policies
Executive Support:
- Provide high-level administrative support to the EVP of Growth & Professional Services, including calendar management, meeting coordination, and travel arrangements when needed
- Anticipate needs and work proactively to support executive priorities and office operations
- Maintain discretion and confidentiality with sensitive information
Support additional ad-hoc responsibilities and special projects as assigned by leadership
Qualifications:
- 3+ years of experience in office management, facilities management, operations, or a related field; or equivalent combination of executive assistant, hospitality, and facilities coordination experience
- Excellent written and verbal communication skills
- Strong interpersonal skills and ability to build relationships with staff, vendors, and external partners
- Exceptional organizational and time-management abilities
- Attention to detail and ability to manage multiple priorities simultaneously
- Proactive problem-solving mindset and resourcefulness
- Proficiency with Microsoft Office (Word, Excel, Outlook) and basic office management software
- Ability to work independently and as part of a team
- Genuine interest in fostering a dynamic, inclusive workplace culture
- Flexibility and adaptability to changing business needs
- Physical ability to manage the office environment, including setup/breakdown of events and coordination of larger facilities tasks
Must be available to work on-site full-time, five days a week, 9:00 AM–5:00 PM
Preferred Qualifications:
- Familiarity with training center or learning facilities operations
- Experience coordinating between remote, multi-office and on-site teams
- Knowledge of basic HR and IT support coordination
